Then the flight is delayed.

For a travel agent or tour operator bringing a group to Finland, this immediately raises a practical question: what happens to the coach waiting at Helsinki Airport?

What If the Airline Changes the Flight Completely?

Sometimes a delay develops into a cancellation or missed connection.

The passengers may then be rebooked onto another flight.

If we are following the original flight but the passengers are now travelling on a different aircraft, the original flight information is no longer useful for planning the pickup.

Groups Arriving on Several Flights

Not every group arrives together.

Perhaps 30 passengers arrive from London, 12 from Frankfurt and another eight later in the evening.

If your passengers are arriving on different flights, the transfer plan should consider both the arrival times and the number of passengers on each flight.

In this situation, send us all relevant flight numbers and tell us approximately how many passengers are arriving on each flight.

This gives us a much better understanding of the complete arrival.

Depending on the arrival times, passenger numbers and programme, transportation can then be planned accordingly.

What If One of the Flights Is Delayed?

This is where planning becomes particularly important.

Imagine that two flights are expected within a short period and the passengers are supposed to continue together on one coach.

The first arrives normally.

The second is delayed significantly.

Should the first group wait? Should the coach leave? Is another transfer needed for the remaining passengers?

There is no single answer that works for every group.

The appropriate solution depends on the difference between the arrival times, the number of passengers involved and what the group needs to do next.

Having all flight numbers from the beginning gives us a much clearer picture of the situation.

A Flight Delay Can Affect More Than the Airport Transfer

The coach pickup is often only the first part of the arrival day.

A programme might originally look like this:

Helsinki Airport → hotel → sightseeing → dinner.

If the flight arrives several hours late, the rest of that programme may need to change.

Perhaps sightseeing needs to be shortened. Maybe the group should travel directly to dinner. The restaurant reservation may need to move, or the evening programme may no longer be practical.

Live flight information helps us manage the airport transportation, but it cannot remove every consequence of a delayed arrival.

If a flight is three hours late, a restaurant, guide or attraction may still be affected.

For this reason, travel agents should consider some flexibility when planning the first day of a group tour.

An arrival programme that works only if the aircraft lands exactly on schedule can quickly become difficult when air travel does not go according to plan.

Where possible, identify which parts of the first day’s programme are essential and which can be adjusted if necessary.

Make Sure the Tour Leader Has Our Contact Information

Once the group arrives in Finland, the tour leader becomes an important connection between the passengers and the transportation operation.

Before departure, make sure the person travelling with the group has the relevant RR Charter contact information.
