How to Plan the Airport Transfers

Your group has 48 passengers travelling to Finland.

Twenty-six arrive from London at 13:20. Fourteen arrive from Frankfurt at 14:05. The remaining eight arrive from Paris at 16:40.

They are all staying at the same hotel.

Should you book one coach and ask everyone to wait? Arrange separate transfers? Send the first passengers to the hotel and collect the others later?

For travel agents and tour operators, arrivals on multiple flights are a common logistical question.

The starting point is a well-planned Helsinki Airport group transfer based on the group’s actual arrival schedule.

There is no single solution that works for every group. The best transportation plan depends on the flight schedule, passenger numbers, luggage and what happens after arrival.

Start by Sending Every Flight Number

When requesting transportation from RR Charter, send us all flight numbers involved in the group’s arrival.

It is also important to tell us how many passengers are expected on each flight.

For example:

Flight 1 – 26 passengers
Flight 2 – 14 passengers
Flight 3 – 8 passengers

This gives us a much clearer picture than simply saying “48 passengers arriving in the afternoon.”

RR Charter drivers follow the relevant flights live, so the actual flight information also helps us react to known delays and plan the pickups according to the real arrival situation.

Flights Close Together May Be Combined

If two flights arrive relatively close to each other, combining passengers into one coach transfer may sometimes make sense.

For example, one part of the group may arrive first, collect their luggage and wait for the second group before everyone continues to the hotel together.

This can simplify the transportation arrangement.

However, combining flights is not automatically the best solution.

The scheduled arrival times are only the beginning of the calculation.

Think About How Long the First Passengers Will Actually Wait

Suppose the first flight lands at 13:00 and the second at 14:00.

At first glance, the difference is only one hour.

But the first passengers may collect their luggage relatively quickly, while the second flight lands later, passengers disembark and then wait for their baggage.

The actual waiting time for the first group can therefore become considerably longer than the difference between the two scheduled landing times.

This is especially important when passengers have already travelled for many hours.

Saving one transfer is not always worth making a large part of the group spend a long time waiting at the airport.

Sometimes Separate Transfers Make More Sense

If the flights are several hours apart, separate transportation may be the more practical option.

The first passengers can continue to the hotel instead of waiting at the airport for the rest of the group.

Another vehicle can then collect the later arrivals.

This can be particularly useful when the first group has an afternoon programme, meeting, dinner or another commitment.

The decision should consider both transportation efficiency and passenger experience.

Passenger Numbers Matter

Imagine that 44 passengers arrive together at 14:00 and four passengers arrive three hours later.

Holding the entire group at the airport for four passengers would rarely be an attractive passenger experience.

The later passengers may need a different transportation solution.

Now reverse the situation.

Eight passengers arrive first and 40 passengers arrive shortly afterwards.

Waiting and combining the group may be much more reasonable.

This is why we need to know how many passengers are travelling on each flight, not only the flight numbers.

Luggage Changes the Calculation Too

International groups normally arrive with luggage.

If passengers are joining a multi-day tour, there may be a large suitcase and hand luggage for each person.

Sports teams may additionally have hockey bags, skis or other equipment.

This matters when planning several airport transfers because the vehicle requirement for each arrival needs to reflect both passengers and their belongings.

Coach luggage capacity can therefore be just as important as the number of passenger seats.

Eight passengers with eight small bags and eight passengers with extensive sports equipment are different transportation requirements.

Tell us what the group is bringing.

What If One Flight Is Delayed?

This is where having the correct flight numbers becomes particularly useful, especially when a group’s flight is delayed.

Suppose two flights were expected to arrive close enough to combine the passengers into one coach.

Then one of them is delayed by two hours.

Because RR Charter follows the flight status live, we can see the known delay.

However, the original transportation plan may now need reconsideration.

Does it still make sense for the first passengers to wait?

Should they continue to the hotel?

Does the delayed group require another transfer?

The answer depends on the circumstances.

A delay can turn a sensible combined transfer into an impractical one.

Do Not Forget Connecting Flights

The passengers’ final flight to Helsinki is the most important information for the airport pickup.

If passengers travel New York → Frankfurt → Helsinki, for example, provide the flight number of the Frankfurt–Helsinki flight for the Helsinki pickup.

That is the aircraft whose arrival we need to follow.

If a missed connection results in the passengers being rebooked onto another flight, send us the new flight number once it is confirmed.

Decide Where the Group Actually Needs to Meet

Not every group needs to become one complete group immediately at the airport.

Sometimes it is much easier for passengers to travel to the hotel in separate transfers and meet there.

This can be particularly practical for conferences, corporate groups and delegations where participants travel independently from different countries.

The hotel becomes the meeting point instead of the airport.

For a traditional escorted tour, on the other hand, the organiser may prefer to assemble everyone before the programme begins.

The transportation plan should follow the structure of the trip.

Consider the First-Day Programme

What happens after the airport can determine the best transfer solution.

If everyone simply checks into the hotel and has the evening free, there may be more flexibility.

If the complete group needs to attend a welcome dinner at 18:00, the timing becomes much more important.

Likewise, if early arrivals have sightseeing planned before the final passengers land, making everyone wait may disrupt the programme unnecessarily.

Airport transportation should therefore be planned together with the first day’s itinerary.

Departures Can Be Just as Complicated

The same issue appears at the end of the tour.

A group of 50 passengers may have arrived together but depart Finland on four different flights.

If the departures are close enough, passengers may be able to travel to Helsinki Airport together.

If the flights leave at very different times, several transfers may be more practical.

For departure transportation, flight times are especially important because passengers need sufficient time at the airport before their flights.

Send us all departure flight numbers and passenger allocations just as you would for arrivals.

Tour Series Need Consistent Flight Information

For tour operators running tour series in Finland, do not assume that every group’s flights will be identical.

One departure may arrive on one flight, while the following group has passengers divided between several services.

Transportation should be based on the actual flights for each group.

Providing a clear passenger-and-flight list for every departure helps avoid confusion between different tour dates.

One Transfer Is Not Always the Cheapest Solution Overall

It can be tempting to think that putting everyone on one coach must always be the most efficient option.

Transportation cost is only one part of the decision.

Consider what happens if 30 passengers wait several hours at the airport, miss part of their programme or require changes to restaurant and guide arrangements.

Sometimes combining passengers makes excellent sense.

Sometimes separating them creates a much smoother operation.

The objective should be to find the transportation arrangement that works for the whole programme, not simply to minimise the number of airport departures.

Give Us the Flights and Let Us Look at the Complete Arrival

You do not necessarily need to decide the transportation solution before requesting a quotation.

For larger programmes, RR Charter can also plan coach transportation for DMCs and tour operators around the complete itinerary rather than only the airport arrival.

Send us the information you have.

Tell us:

all arrival flight numbers;

number of passengers on each flight;

approximate luggage or equipment requirements;

hotel or next destination;

first-day programme;

whether passengers need to meet before leaving the airport.

We can then look at the arrival as a complete transportation requirement instead of treating every flight in isolation.

Is your group arriving in Finland on several different flights?
